Application Process

Has the 2017 grant application cycle changed?

No, the Histiocytosis Association has continued its collaboration with Wizehive, a leader in interactive online applications, to make the grant application cycle an easier process for both applicant and reviewer. The 2017 grant cycle will follow the same method of application and review. This application platform provides increased security; ensuring applicant content privacy. The application process will require all applicants/investigators to create a username and password specifically for the grant application webpage each year. This username/password is different from the username/password used to access other parts of www.histio.org. A new username/password must be created for each grant year. Once registered the application will follow a similar format as previous years; requiring detailed information about the primary and secondary investigator, as well as an uploaded research proposal. The 2017 grant application cycle will be available on www.histio.org/RFRP beginning on May 15, 2017 until July 1, 2017.

Who is eligible to apply for a grant?

In order to be eligible for a Histiocytosis Association grant, an applicant must be a full-time faculty member at an academic institution.

Does the grant program accept applications for International projects or only those in the United States?

The Histiocytosis Association grant program is open to all projects, both in the United States and Internationally. We seek to fund the most cutting edge research, no matter the location of the project, as long it meets our terms and conditions and is a full-time faculty member at an academic institution.  

How does the application process work?

Interested applicants can submit a proposal beginning on May 15, 2017 until July 1, 2017. During this time, all interested applicants can go to www.histio.org/RFRP and create a username and password. Your username and password should be kept in a secure place, since you will be able to log-in at any time to review the status of your application. (This username/password is different from the username/password used to access other parts of www.histio.org and must be created new each year.) Applicants must register with a username and password each year. Previous year’s credentials will not work; however, you may register using the same credentials each year. After registering, applicants will have access to the online application.  Applicants will be asked to provide the following information:

  • primary and secondary investigator contact information
  • project title
  • amount of funding requested
  • what disease the project pertains to
  • how the project is relevant to histiocytic disorders
  • how histiocytosis patients will benefit from the project
  • how the grant will impact long-term research funding for the project
  • the anticipated start date of the project
  • an uploaded research proposal for review

Once a proposal is submitted, no changes can be made to the form. Applications will enter the processing and review session shortly after the July 1, 2017 deadline. Applicants will be notified via email on or about December 15, 2017 if their proposal has been accepted for funding. Funding is awarded by December 31, 2017.

Will individual extensions be granted or the overall funding application deadline be extended?

No, the funding application deadline is firm and will not be extended for any reason. This includes but is not limited to: special individual circumstances, U.S. or International holidays and meetings or conventions which coincide with the deadline date. Applicants are given approximately 45 days to submit a request for research proposal and should plan accordingly.

Who reviews the grant applications and proposals?

Grant applications face an extensive evaluation and peer review process, modeled after that used by the US National Institutes of Health (NIH). This process ensures an impartial and transparent approach to grant funding through “a process that is fair, equitable, timely, and conducted in a manner free of bias.” The initial grant review is conducted by the Histiocyte Society’s Scientific Committee. The Society’s Scientific Committee reviews and scores the research grant applications received by the Association based on scientific merit, relevance and feasibility. A secondary review is performed by the Histiocytosis Association Board of Trustees. What are the funding levels? 

The funding level for the Research Grant applications is up to $50,000. Any grants requesting funding in excess of $50,000 will not be considered for the grant cycle. 

Are there any budget restrictions?

Yes, the Histiocytosis Association will not fund overhead costs, travel budgets or principal investigator salaries.

What terms and conditions should I (the applicant) be aware of?

Where do I send my grant proposal?

Grant proposals will only be accepted by creating a grant application account on www.histio.org/RFRP from May 15, 2017 to July 1, 2017. Once an account has been created, applicants will be asked to fill out an application form and upload a research proposal. The grant application area of the Histiocytosis Association website is the only location that a grant proposal can be submitted.

What is the term (duration) of a research grant?

Research grants are awarded for a one-year term beginning on December 31, 2017. Proposals that require longer than one-year are not subject to review and will be disqualified.

What information should be included in my narrative biography (bibliographical sketch) that is submitted with my application?

Narrative Biographies (also listed as a bibliographical sketch) should include, at a minimum:

  • where the applicant studied
  • their current job title and place of employment
  • area(s) of focus and any recent research
  • if you have a direct connection working with histiocytosis, please indicate so.

When you state, "Grants applied for or received," are you only referring to pending grants without decisions, unfunded grants, or both?

Both. Please indicate any grants within the last five years that have provided funding for the current project you are requesting the Histiocytosis Association Research Grant to fund. Also indicate which grants you applied for within a five-year period, funded and unfunded.

In reference to “Grants applied for or received,” should I include applications in which I was not the primary investigator?

Please include all grant information in which you played an important role, this includes Primary Investigator, Secondary Investigator, Co-Primary Investigator and Sub-Primary Investigator.

May I submit more than one application?

Primary Investigators may submit only one application for funding as the Primary Investigator.  However, a Primary Investigator may be listed as a Secondary Investigator on a second grant application. Secondary Investigators may be listed on more than one application.  

Why are you asking for the Primary Investigator’s Department Chair and Grants Administrator information?

Having this information helps facilitate the contract procedures should your project be awarded a grant. This information is also used to secure required reports should we be unable to obtain them from the Primary Investigator directly.

What is the timeline for the grant cycle?

Dates are meant to give a general idea of the grant cycle timeline and are subject to change at any time without notice.

Applications Accepted Online: Grants open on or about on May 15 and always close on July 1
Processing and Scientific Committee Review Session: July 2 – Early September
Processing and Histiocytosis Association Board Secondary Review Session: September  – Early December
Notice of Award: on or about December 15
Funding Awarded: by December 31
6 Month Report due for awarded applicants: June 30
12 Month Report due for awarded applicants: January 30


Funding & Reports

If I am awarded funding, how often do I need to send reports/updates regarding the progress of the study? What is required in these reports?

If your research grant is accepted, a written 6-month scientific status report is due to the Association in June of 2018. This report will be distributed solely to the Association Board of Trustees. In January 2019, a written 12-month scientific conclusion, layperson and financial report will be due to the Association. The scientific conclusion report will contain the project's final conclusion as well as the financial report providing a brief budget detailing the expenditure of grant awarded funds. The budget should address and match the budget submitted with the originally application for funding. The layperson final report should include an overview of the project, along with a final conclusion in layperson terms, which will be published on the Histiocytosis Association’s website. Please note: if reports are not submitted on time or arrangements made for extensions, funding may be forfeited and required to be returned.

What is required of me after I have received funding?

Applicants who are awarded grant funds are required to submit the requested 6-month and 12-month reports. As well as:

  • ensure all results and findings are made public and that the Histiocytosis Association's support is acknowledged in any published materials and/or publications
  • submit a copy of each publication and/or presentation to the Association so it can be acknowledged on its website
  • submit a written abstract to the Association for presentation at an Annual Meeting of the Histiocyte Society
  • for Grant awardees located in the United States, a W-9 is required for submission from the institution where the research is being conducted.

What should I do if the submitted project intent, schedule and/or budget changes after I am awarded funding?

Any requests to make changes to the original intent, timing or budget for the project after funding has been awarded must be submitted in writing and emailed to grants@histio.org

What is the format of the 6-month, 12-month scientific and 12-month lay person reports? 

Information regarding requirements for reporting will be sent to awardees 4-6 weeks prior to the report due date. Please note: if reports are not submitted on time or arrangements made for extensions, funding may be forfeited and requested to be returned.

What happens if I do not submit required 6-month or-12 month reports on time?

If 6-month or 12-month reports are not submitted on time, the Histiocytosis Association may require the Primary Investigator and his/her institution return the funding as per the funding agreement signed by both parties. If you are unable to submit these reports when they are due, it is expected that you email grants@histio.org with an explanation and request for extension at least one (1) week prior to the due date. 

Can funding be disbursed to multiple institutions for one grant award?

No. The Histiocytosis Association will award funding to the Primary Investigator’s institution. It is up to that institution to disburse any funding for joint projects.  The Primary Investigator is also responsible for submitting all required reports on-time.

Do I need to keep any receipts that prove how funding was used?

Yes. Institutions should retain receipts for at least three (3) years in case a financial audit is required and receipts must be produced. Institutions may be required to return any funds for which receipts cannot be produced should an audit occur.
